The Grants Assistant is responsible for a variety of administrative, logistical, and customer service tasks that support the daily functions of the Ponce Research Institute grants and community-based programs and initiatives requestion submission. The ideal candidate will carry out job duties with an emphasis on attention to requisition detail and supportive documentation in accordance with the institutional policy and procedures. This individual will be able to take directions and provide excellent customer service, communicate effectively, and work collaboratively across the organization. This position experiences prolonged time on the computer and phone. Essential functions of the position include providing customer service, filing system, and general team support.

Responsibilities

  • Provides support to faculty and staff in addressing concerns with the requisition institutional administrative process.
  • Maintain and monitor daily requisitions, compiling, maintaining and updating file accounts for grants and contracts requisitions and supportive documentation in accordance with institutional and federal policies.
  • Daily requisition debarment verification on vendors and contracts.
  • Verifies mathematical calculations on receipts for petty cash.
  • Verifies Travels supportive documentations and Perdiem amounts.
  • Answering phone calls.
  • Daily grant and contract transfer control log.
  • Verifies the requisition account budget that are properly processed based on the federal guidelines.
  • Monitors grants and contacts invoices.
  • Collaborate in-person and virtual in ORD meetings including those with the ORD Director/Team Members, Investigators, and Institutional partners with particular emphasis on Contracts/subawards.
  • Perform other related duties that may be requested by the ORD Director.

Excellent written and oral communication skills, problem-solving skills, attention to detail and ability to multi-task.

Strong interpersonal skills, including the ability to work as a part of a team. Ability to prioritize, take initiative, prioritize with minimal supervision. Strong interpersonal skills, Organized, reliable, efficient, creative and open to learning new things.

Requirements

  • A minimum of two (2) years of experience as an Administrative Assistant.
  • Associate degree preferred or equivalent.
  • Fully bilingual (Spanish and English).
